Privacy policy
How Rudman Coaching collects, uses and protects the personal information you share through this website, the free consultation form and coaching with Nathan Rudman.
Last updated: 27 September 2026
This policy explains how Rudman Coaching collects, uses and protects your personal information when you use this website, contact us, or train with us — and what your rights are.
Who we are
Rudman Coaching is run by Nathan Rudman, a sole trader, who is the “controller” of your personal information under UK data protection law (the UK GDPR and the Data Protection Act 2018).
- Email: rudmancoaching@gmail.com
- Phone / WhatsApp: 07592 833638
If you have any question about this policy or your information, contact Nathan using the details above.
What information we collect
When you book a free consultation
Through the form on our consultation page we collect:
- your name and email address;
- your phone number, if you choose to give it;
- your main goal and preferred training location;
- anything you write in the message box — which may include information about injuries or your health;
- which page you sent the form from, so we know how you found us.
When you contact us directly
If you call, text, WhatsApp, email or message us on Instagram or Facebook, we receive whatever you send, along with your contact details.
When you train with us
To coach you safely and effectively we keep contact details and session bookings; health and fitness information you share with us, such as injuries, medical conditions, training history, measurements, bodyweight and progress notes; and payment records.
If you use online coaching, your programme, check-ins and progress data are held in the Rudman Coaching app, which runs on a third-party app platform. That platform’s own privacy policy also applies to how the app works.
Photos and results
We only publish before-and-after photos, results or your name with your explicit permission. You can choose to be anonymous or use a different name, and you can withdraw permission at any time (see “Your rights”).
When you browse this website
Like all websites, ours receives technical information such as your IP address and browser type so the pages can load and be protected from abuse. We do not use analytics or advertising cookies. See “Cookies” below.
Health information
Health information is a special category of personal data and gets extra protection. We only use it to keep your training safe and appropriate, and only with your explicit consent, which you give when you choose to share it with us. You don’t have to share health information to book a consultation, and you can ask us to delete it at any time.
How we use your information, and our lawful basis
- Replying to your consultation request or message — to answer your enquiry and arrange a call or session. Lawful basis: steps at your request before entering a contract, and our legitimate interest in responding to enquiries.
- Planning and delivering your coaching — to provide the service you’ve asked for. Lawful basis: contract.
- Using injury and health information — to keep training safe and suitable for you. Lawful basis: explicit consent.
- Keeping payment and business records — for tax and accounting. Lawful basis: legal obligation.
- Publishing your photos, results or review — to show real results to prospective clients. Lawful basis: consent, which you can withdraw at any time.
- Keeping the website secure and working — hosting and spam protection. Lawful basis: legitimate interests.
We never sell your information, and we don’t use it for automated decision-making or profiling.
Who we share it with
Only with the services we need to run the business:
- Webflow — hosts this website and receives consultation form submissions.
- Cloudflare (Turnstile) — protects our forms from spam and bots.
- Google — email (Gmail), and the maps on our location pages (Google Maps).
- The app platform that runs the Rudman Coaching app, for online clients.
- The gyms we coach in (Definition, Peterborough and Active Performance, King’s Cliffe) receive only what they need for you to use their facilities, such as paying their day rate.
- Our accountant, and authorities where the law requires it.
We don’t share your health information with anyone — for example a physiotherapist or GP — unless you ask us to.
International transfers
Some of these providers, such as Webflow, Google and Cloudflare, process data outside the UK, including in the United States. Where that happens, the transfer is protected by recognised safeguards, such as the UK Extension to the EU–US Data Privacy Framework or the UK International Data Transfer Agreement / Addendum.
How long we keep it
- Enquiries that don’t go ahead: deleted after 12 months.
- Client records, including health and progress notes: kept while you train with us and for up to 3 years afterwards, in case you return or have a question about your training.
- Financial records: kept for 6 years, as required by HMRC.
- Published photos and results: kept until you ask us to remove them.
Cookies
This website does not use analytics or advertising cookies.
- Our spam protection (Cloudflare Turnstile) may set a strictly necessary cookie to tell real visitors from bots. It doesn’t identify you.
- Google Maps is embedded on our location pages so you can see where each gym is. When a location page loads, Google may set its own cookies through the map — see Google’s privacy policy.
- The WhatsApp, Instagram, Facebook and App Store links take you to those services, which have their own privacy policies.
Your rights
Under UK data protection law you have the right to:
- access a copy of the information we hold about you;
- have inaccurate information corrected;
- have your information deleted;
- restrict or object to how we use it;
- receive your information in a portable format;
- withdraw consent at any time — for example to your health information being used, or your photos being published. This won’t affect anything we did before you withdrew it.
To use any of these rights, email rudmancoaching@gmail.com. We’ll respond within one month, and it’s free in most cases.
Complaints
If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk, or by calling 0303 123 1113.
Children
Our services are for adults. We don’t knowingly collect information from anyone under 18 without a parent or guardian’s involvement.
Changes to this policy
We’ll update this page if anything changes, and change the “last updated” date at the top.
